Position Title: Chiltern Harriers AC Coaching Coordinator

About Us

Chiltern Harriers AC is a Club of some 400 members – junior and senior - whose vision is to be the standout running club in the Chilterns. We cater for athletes who enjoy the competitive aspects of the sport, and also those who just want to run for pleasure and to keep fit.  We also have a number of social and associate members. We organise a variety of training runs, which take us all over the Chiltern countryside. All our members benefit from belonging to a club and being able to run with people of like ability.
Overview
The role of coaching coordinator is a new one. It will be central to delivering on the Club’s mission to “bring together people of all abilities in order to run, train, compete, make friends, pursue their goals and inspire a lifetime’s health and enjoyment.” The role encompasses a variety of responsibilities, including maintaining up-to-date records, organising meetings, enabling coaching development and developing a strategy for coach recruitment. It would suit an organised individual with strong people skills. An interest and awareness of running and athletics is advantageous, but not essential. The role would be suitable for someone returning to or entering the world of work, or an individual with caring responsibilities.
£18 - 20 per hour
Free annual membership
Self-employed, part-time basis
Up to 10 hours per week

Key Responsibilities
Key responsibilities of the role are expected to include:
  • Develop and maintain up-to-date records of coaches, assistant coaches / run leaders and parent helpers, including licences, qualifications and renewal dates
  • Create and update descriptions of different coaching offerings to inform (potential) members and ensure new members are directed towards the most appropriate training group for their aspirations 
  • Maintain awareness of capacity within individual (junior) coaching groups to ensure new members are directed towards groups with space to receive them
  • Organise and chair regular coaching meetings to share best practice and ensure effective information sharing between coaches and coaching groups
  • Work with coaches to identify and book training venues, maintaining up-to-date records of venues
  • Ensure coaches conduct risk assessments for key training venues / environments, and that assessments are made available as needed
  • Pre-empt the need for recruitment of new coaches and work with existing coaches to develop and implement a recruitment strategy
  • Disseminate key information, such as Club or Governing Body policies and developmental opportunities
  • Provide a short, written update to the Club Committee for consideration at meetings (every two months)
  • Escalate risks and issues to the Club Committee where appropriate, suggesting appropriate solutions for agreement
  • Occasionally meet with training groups and coaches at venues to discuss matters of interest 
  • Check and approve all coaching expenses up to £100 (eg. mileage claims, equipment, workshops); check and assess coaching and equipment expenditure requests of over £100 before seeking approval through the Club Committee (specific approval procedures will be agreed).

Person Specification 
  • Organised and proficient in standard computing software (eg. MS Office Word, Excel, PowerPoint, Outlook)
  • Ability to work independently and as part of a team
  • Strong interpersonal skills
  • Previous experience in an administrative role and an interest / awareness in athletics may be helpful, but are not essential

Working Arrangements
This is a home-based role on a self-employed part-time basis (up to 10 hours per week, flexible). The role is funded until March 2027, at which point it will be reviewed and, if approved, funding extended. The role is accountable to the Club Committee, reporting to the Club Chair. Some in-person working will be required (attendance at meetings, coaching sessions.)

Salary and Benefits
